Raising a welfare concern
Contact Marie O’Leary directly if you have a welfare or safeguarding concern. Explain what happened, when and who was involved. Concerns should be handled through the appropriate channels, with respect for confidentiality, especially where children are involved. If a child is at immediate risk of harm, contact the emergency services or the appropriate statutory authority rather than waiting for an email response.
Respect, behaviour and bullying
Athletes must respect teammates, coaches, equipment and the gym space. Bullying, intimidation, bad language and unsafe behaviour are not acceptable. Children should tell a coach if they are hurt, worried, unwell or unsure. Parents should encourage enjoyment, effort and development, respect others and raise concerns privately through the appropriate channel.
Coaching standards and communication
Coaches and staff must put athlete welfare first, coach within their qualifications, experience and club procedures, and maintain respectful language and professional boundaries. Incidents, disclosures and welfare concerns must be reported promptly. Club communication should use official channels. Parents should arrange conversations through the office rather than interrupting coaching time.
Medical information, injuries and additional needs
Parents must disclose medical conditions, allergies, injuries, medication needs and additional support requirements during registration, and update these when circumstances change. Some needs may require a parent or carer to remain on site or a specific support plan. Staff provide appropriate first aid and contact parents or guardians where needed. Incident details should be recorded under club procedures. Tell the coach about pain, injury or medical advice before the next class.
Photography and video
Athlete images are used in line with consent provided during registration. Parents must not photograph or film other children without permission. Photography may be restricted during training and events for safeguarding reasons. Images must not be shared in a way that embarrasses a child or places them at risk.
Gym access and toilet facilities
The toilet is inside the children’s gym area and is for children attending classes only. No toilet facilities are available for public use. Adults are not permitted to enter the gym for toilet access. If a child needs assistance, please speak to reception. Follow staff instructions regarding access to the training floor.
Safe participation and collection
Athletes must follow coach instructions and must not attempt skills without permission. Wear appropriate training clothing, secure long hair and remove jewellery. Parents must keep emergency contacts up to date, ensure children arrive on time and collect them promptly.
Emergencies and evacuation
Athletes must follow coach instructions during an emergency or evacuation. Parents must not enter the training floor to collect a child unless instructed by staff. Parents and non-participating children should follow the building’s evacuation instructions and go to the designated assembly point.
Other concerns and complaints
For class matters, request a conversation with the lead coach through the office. Contact the office about bookings, payments or timetables. Unresolved issues can be escalated to the appropriate manager; formal complaints should be submitted in writing. Welfare and safeguarding concerns should go directly to Marie O’Leary.
